1. Reminder About Expiry Date of Student Home Use Software

Student who has applied home use software license please backup your working files (eg Adobe Cloud) before the following expiration dates of your installed software packages:

Matlab 30 June

You may consider to uninstall the software on expiry as it will stop to function subsequently.

2. Replacement of the Duo Multi-Factor Authentication (MFA) with Microsoft Azure MFA on Accessing the Finance Office Staff Personal Statements (Staff Only)

After reviewing different software options, PolyU ITS decided to terminate the subscription of the Duo as MFA solution by the end of Jun 2020 (the exact termination date of Duo will be further confirmed by ITS). With effect from 11 Jun 2020, staff are require to use Microsoft Azure MFA to login the Finance Office Staff Personal Statements website ( https://www40.polyu.edu.hk/focpcestaffenq/) for CPCE staff when you are off-campus.


When and how to register the Microsoft Azure MFA?
Staff could follow the steps in the Microsoft Azure MFA user guide to setup the Microsoft Azure MFA on/after 8 Jun 2020. The user guide can be accessed via the CPCE Portal.


When and where you will be required to use Microsoft Azure MFA?
From 11 Jun 2020, you are require to use Microsoft Azure MFA when accessing the Finance Office Staff Personal Statements website out of campus.

During the transition period, both Duo MFA and Microsoft Azure MFA would be available for the user to perform the MFA until PolyU ITS terminate the Duo MFA. If you have not registered the Duo MFA before, please register the Microsoft Azure MFA on/after 8 Jun 2020.


FAQ

  1. When you require to use Microsoft Azure MFA?
  2. When you access the Finance Office Staff Personal Statements website out of campus, you require to use the Microsoft Azure MFA. In the future, there will be more PolyU systems may require to use MFA in the login process.

  3. Do you need to provide your mobile phone number during the registration process?
  4. No, if following the default registration steps, you do not need to provide your mobile phone number.

  5. Can you register multiple device for MFA login?
  6. Yes, you can. Please login the MFA device management portal (https://aka.ms/mfasetup) and refer to the point 14 in the section A to register another device.

  7. What do you need to do if you lose your mobile phone?
  8. If you lose your mobile device or remove the user account setting accidentally in the ‘Microsoft Authenticator’ apps and you have not registered your user account under the ‘Microsoft Authenticator’ apps in another mobile device. Please contact ITU Helpdesk for the support.

3. Postpone the Phasing Out of Staff Personal SharePoint Service (Staff Only)

Due to the recent situation, the decommission of the staff Personal SharePoint service ( https://cp.cpce-polyu.edu.hk ) will be postponed from 31 Mar 2020 to 30 Jun 2020 in order to let the staff have sufficient time to perform the data migration.


Please be reminded to note the action plan below if you are using the staff Personal SharePoint service:


Actions to be taken by users


  • Check you have stored the files or data under the Document, List or other Library on the Personal SharePoint platform.
  • User Guide in the CPCE Portal for you to prepare the migration.
  • Select the appropriate platform (e.g. OneDrive) to replace the Personal SharePoint or consult ITU user support team for advice.
  • Plan how to move, export and migrate the files or data to other platform
  • Start to move, export or migrate the file or data to a suitable platform between before Jun 2020 by yourself, setup the permission on that platform if the files require to share with colleagues.
  • Ensure all the files and data are successfully moved, exported and migrated to other platform. Delete the files and empty the Recycle Bin in your Personal SharePoint service before Jun 2020.

4. Reminder: Note to Students Who Will Graduate or Leave From HKCC / SPEED

Please note that the following IT services will be terminated after you graduate or leave from HKCC / SPEED:


  • Student email account
  • Microsoft OneDrive bundled with student email account
  • Microsoft Office 365 ProPlus applications (Microsoft Office / Mac Office) offered via student email account
  • Print quota account
  • Student Notebook Loan Service
  • Campus Wi-Fi service, including Eduroam
  • Moodle
  • Campus PC / other systems login
  • Access to Student Computer Centre

Reminder:

  • Please backup data/files from the above systems if you need to keep them before graduation in order to prevent inconvenience and /or data loss.
  • Remaining balance in print quota account is non-refundable and non-transferrable at any time.
  • Should you have outstanding debit note for student notebook payment, you must settle it before graduation.
  • You may consider purchasing the Microsoft products at Microsoft Store if you wish to continue using them after leaving HKCC / SPEED.
  • You can only access Transcript request feature in my.HKCC / my.SPEED after graduation
  • You are also recommended to observe email announcement from PolyU Alumni Affairs and Development Office about the provision of lifelong PolyU alumni email account and OneDrive online storage.

5. Reminder When Accessing Student Computer Centre

Reminder

  1. Wear surgical face mask anytime inside SCC
  2. Only use PC open for student use
  3. Do not gather with other student, e.g., discuss project
  4. Wash your hand before and after using computer
  5. Keep safe distance when approaching helpdesk counter
  6. Personal device, e.g., notebook, may be required to be cleaned using sanitizer before service
