1. Extended Retention of Zoom Recordings in Cloud to 120-Day
In order to facilitate sharing of Zoom recordings with students for the whole semester, CPCE has upgraded its Zoom service providing 120-day retention of Zoom recordings in Zoom Cloud for all Zoom users,
please download a copy of the recordings if you would like to keep a copy of it after the retention period.
Steps to download the recordings
- Sign in to CPCE Zoom web portal (https://cpce-polyu.zoom.us)
- In the navigation menu, click “Recordings” (User will see a list of cloud recordings that started)
- Downloads the recording file to your local computer
ITU will review the retention period regularly depending on the user volumes and the need for storage.

2. Update on Microsoft Teams
Revised In-meeting Share Experience
Microsoft Teams desktop users on Windows and Mac will soon have a revised share experience while in meetings. In Microsoft Teams desktop client on Windows and Mac,
users will see a new design when sharing their screen, window, Whiteboard, or PowerPoint during meetings, as shown below.

MS Teams save recording to OneDrive instead of Stream
Microsoft announced that starting from 7 July 2021, all meeting recordings will be saved to OneDrive.
To minimize inconvenience to colleagues, ITU will further update on the planning in due course.

3. Tips on IT Security
Ransomware is among the most wide-spreading cyber security threats.
Hackers are using it to encrypt files on the user's device and demand ransom payments for file decryption.
For the sake of reducing the risk of ransomware infection, the following precautionary security measures are recommended:
- Backup important files in a timely and regular manner. Keep an offline copy of the backups in a safe place to avoid being affected by malwares.
- Install end point security protection solutions (ie Anti-Virus Software) in your PCs
- Update system and software, such as Microsoft Windows, Office, Adobe reader, Flash player, etc., with the latest security patch to plug the security loopholes and avoid being utilised by malwares.
- Be aware of suspicious emails. Do not open attachments inattentively, especially compressed files (zip), executable files (exe) or documents that contain the VB script.
Report to ITU helpdesk (pfitoper@cpce-polyu.edu.hk) if you have received a suspected phishing email.

ITU is working with vendor on IT Mega Sales for semester 2. Apple is vendor for this round. ITU will announce details, e.g., ordering method, in due course.

) is setup to provide support information covering Moodle, MS teams, Zoom and Hybrid Teaching.

6. Reminder: Note to Students Who Will Graduate or Leave From HKCC / SPEED
Please note that the following IT services will be terminated after you graduate or leave from HKCC / SPEED:
- Student email account
- Microsoft OneDrive bundled with student email account
- Microsoft Office 365 ProPlus applications (Microsoft Office / Mac Office) offered via student email account
- Print quota account
- Student Notebook Loan Service
- Campus Wi-Fi service, including Eduroam
- Moodle
- Campus PC / other systems login
- Access to Student Computer Centre
Reminder:
- Please backup data/files from the above systems if you need to keep them before graduation in order to prevent inconvenience and /or data loss.
- Remaining balance in print quota account is non-refundable and non-transferrable at any time.
- Should you have outstanding debit note for student notebook payment, you must settle it before graduation.
- You may consider purchasing the Microsoft products at Microsoft Store if you wish to continue using them after leaving HKCC / SPEED.
- You can only access Transcript request feature in my.HKCC / my.SPEED after graduation
- You are also recommended to observe email announcement from PolyU Alumni Affairs and Development Office about the provision of lifelong PolyU alumni email account and OneDrive online storage.

7. Tips on Using Group Mode for Centralized/Lecture/Combined Group
With using Group Mode, you can filter your activities and gradebook, so you only see one class at a time. Similarly,
you can also filter out the students from your colleagues’ classes. The groups have been prepared on class basis at Centralized group and on
tutorial group basis at the lecture/combined group. The Group Mode option is available for all activities, please find more details from the
