1. CPCE Prompt Library

ITU is pleased to announce the launch of the CPCE Prompt Library, a platform for staff and students to save, organise, share and reuse effective AI prompts within CPCE.


If you would like to keep your prompts beyond retention period in Gemini Enterprise, or share useful prompts with students and classmates in CPCE, the CPCE Prompt Library is designed for you. It allows users to keep useful prompts in a structured library for future reference and reuse.

Key features include creating and managing personal prompts, sharing prompts within CPCE, searching by keyword or tag, copying prompt content for use with AI tools, bookmarking shared prompts, exporting prompt records, and installing the browser extension for Google Chrome or Microsoft Edge.


The Prompt Library browser extension is supported on the desktop versions of Chrome and Edge.
All users are reminded not to save or share confidential, personal or sensitive information in the platform.

2. Gemini Enterprise Annual Renewal Exercise — Students Only

To ensure the effective use and proper management of Gemini Enterprise accounts, ITU will conduct an annual renewal exercise for student accounts.

Application for Gemini Enterprise accounts for the new academic year opens September 2026

Students are reminded to back up any important materials stored in Gemini Enterprise before the account removal exercise to avoid inconvenience or data loss.


Further details will be announced by ITU in due course.

3. Blackboard Old Materials Removal Exercise


Please note that the Blackboard housekeeping exercise, originally scheduled for February 2025, has been rescheduled to July 2026.


Due to server storage quota limitations, all Blackboard materials from the 2023/2024 academic year will be removed in July 2026.


Students and staff are reminded to back up any necessary Blackboard materials before the removal exercise. Further details will be provided in an ITU announcement in due course.

4. Reminder on Data Backup and Safe Use of Public Platforms


Users are reminded to back up important files stored on their PC and notebook hard disks regularly to prevent data loss caused by unexpected incidents. One feasible option is to make use of Microsoft OneDrive for file backup and synchronization, which allows users to store copies of important files in the cloud and access them across different devices when needed. Users should check from time to time that their important files have been properly backed up and that the backup copies can be accessed successfully.


In addition, users should handle institutional, sensitive, confidential, and personal identifying information with care. Such information should not be stored, uploaded, or shared on public platforms, such as GitHub or other publicly accessible cloud services, unless proper authorization and security measures are in place. Before uploading any files to external platforms, users should review the content carefully and remove any sensitive data where appropriate.


These good practices can help reduce the risk of data leakage, unauthorized access, and potential breaches of data protection requirements.

5. Reminder for Students Who Will Graduate or Leave HKCC / SPEED


Students who are graduating or leaving HKCC / SPEED should note that the following IT services will be terminated after their departure:

  • Student email account
  • Microsoft OneDrive bundled with the student email account
  • Microsoft Office 365 ProPlus applications offered through the student email account
  • Print quota account
  • Google Gemini Enterprise
  • Student Notebook Loan Service
  • Campus Wi-Fi service, including Eduroam
  • Blackboard
  • Campus PC and other system login accounts
  • Access to the Student Computer Centre

Important Reminders

  • Any remaining balance in the print quota account is non-refundable and non-transferable.
  • Students with an outstanding debit note for student notebook payment must settle the payment before graduation.
  • Students who wish to continue using Microsoft products after leaving HKCC / SPEED may consider purchasing them from the Microsoft Store.
  • Students who wish to continue using Gemini may access the personal version at gemini.google.com.
  • After graduation, students can only access the Transcript Request feature in my.HKCC / my.SPEED.
  • Students are also encouraged to pay attention to email announcements from the PolyU Alumni Affairs and Development Office regarding the provision of lifelong PolyU alumni email accounts and OneDrive online storage.
