1. Reminder on Ransomware

As recent outbreak of ransomware incident, ITU would like to share best practices with you for protecting against ransomware


  1. Backing up important data to an off-line disk storage is the single most effective way of combating ransomware infection. Attackers have leveraged over their victims by encrypting valuable files and leaving them inaccessible. If the victim has backup copies, they can restore their files once the infection has been cleaned up.
  2. New ransomware variants appear on a regular basis. Always keep your security or anti-virus software up to date to protect yourself against them.
  3. Email is one of the main infection methods. DO NOT OPEN unexpected/suspected emails especially if they contain links and/or attachments.
  4. Be extremely aware of any Microsoft Office email attachment that advises you to enable macros to view its content. Unless you are absolutely sure that this is a genuine email from a trusted source, do not enable macros and instead immediately delete the email.

Should your computer is infected by ransomware

  1. Unplug the network cable from your computer immediately.
  2. Unplug any USB external hard disk or flash drive.
  3. Report the case to ITU helpdesk or unit's coordinator.

2. Reminder: Note to Students Who Will Graduate or Leave From HKCC / SPEED

Please note that the following IT services will be terminated after you graduate or leave from HKCC / SPEED:


  • Student email account
  • Microsoft OneDrive bundled with student email account
  • Microsoft Office 365 ProPlus applications (Microsoft Office / Mac Office) offered via student email account
  • Print quota account
  • Student Notebook Loan Service
  • Campus Wi-Fi service, including Eduroam
  • Moodle
  • Campus PC / my.HKCC / my.SPEED / other systems login
  • Access to Student Computer Centre

Reminder:


  • Please backup data/files from the above systems if you need to keep them before graduation in order to prevent inconvenience and /or data loss.
  • Remaining balance in print quota account is non-refundable and non-transferrable at any time.
  • Should you have outstanding debit note for student notebook payment, you must settle it before graduation.

You may consider purchasing the Microsoft products at http://www.microsoftstore.com/ if you wish to continue using them after leaving HKCC / SPEED.

3. Tips for Mobile Teaching

Training courses from Apple
Apple rolls out a series of training courses including photographing, video editing, drawing, etc, in Apple Store. Interested user is welcome to visit Apple website https://www.apple.com/hk/en/today/ for details.


Draw and annotate on Word, Excel and PowerPoint
There is update from Microsoft about the availability of "Draw" tab for Word, Excel and PowerPoint for iPad. User can add annotation on Word, Excel and PowerPoint files directly using finger or pen.

4. Good Practices to Prevent Data Leakage when Sending Email

Email is the major communication channel in our daily office operation. Sensitive information or personal data are unavoidable required to send to external party via the email. In this article, some good practices are shown to prevent data leakage and protect the sensitive information when sending or replying email.


Avoid storing sensitive data over Internet or Public Online Storage Space - Storing sensitive information on the Internet or Public Online Storage Space may cause data leakage if the access permission is not set up appropriately.


Encrypt your files - Encryption mechanism such as 7-Zip AES encryption and VeraCrypt disk encryption with strong key authentication should be used when files are being transferred to removable media. Encrypted USB storage device may be used for additional level of protection.


Avoid sending sensitive data over Internet e-mail - Sending sensitive information over an Internet e-mail may result in a copy of your data being stored or archived by a third-party server. Protect your files - Setting password to file that contains personal data for email transmission.


Obtain just the right information you need - Extracting Essential Student's information only from the Student Management System (SMS) for use.
